We work with TPN (Tenant Profile Network - whose focus is to prevent habitually delinquent tenants from abusing property managers and landlords by creating a database to register these tenants' conduct) and PayProp (The PayProp platform is an integrated, collaborative, web-based platform that provides property administrators with a complete electronic payment solution. PayProp eliminates inefficiencies in back office operations and applies leading technologies to automate entire processes).

Appointing Harcourts Capital


Please note that all services and transactions are VATable, should the owner be a VAT vendor, Harcourts Capital will provide VAT invoices where required.

*The company has a strict NO CASH / CHEQUE policy. Any payments must be made directly into our bank account by means of Internet banking or debit order, and proof of payment sent via email.


When it is a placement only, the tenant pays directly into the owner’s account. The owner will in turn pay Harcourts Capital their professional fee. The recommended deposit for rental is a minimum of 1 month, subject to the tenant’s profile, as much as 2 months.

Placement/procurement only: One month rental plus VAT (includes credit check and application form by tenant for the owners approval). The credit check fee of R195 is payable by the prospective tenant. Upon completion of the lease agreement and payment of the deposit and first month’s rental, the transaction is deemed to be complete and payment is due to the Agency (other supporting documentation will be made available to be used at the owner’s discretion).

Placement/procurement and management: One month rental, inclusive of VAT and 10% management fee inclusive of VAT (One year duration). This includes 3 inspections (includes moving in and out rental inspection list, plus every 6th month inspection).

Sequence of letting:


  • Owner gives mandate: Addendum A and TPN mandate and Deed search done by the office.
  • Tenant is keen: Application form to be completed, attach ID, 3 months stamped bank statements (unless original), latest salary payslip and proof of payment for credit check.
  • Owner accepts: Both parties complete the lease documentation, copy of the Water and Electricity or Rates and Taxes account, plus a copy of ID Document.
  • Additional information to be captured and to form part of agreement: Addendum.
  • Someone stands surety: Surety-Ship document to be completed.
